Accessibility
The renter and any of its guest will not osbstruct doors, stairways, sidewalks, elevators, entries or exits. The renter agrees to abide by all applicable State and local fire codes. Adequate access to any fire extinguishing equipment must be maintained at all times.
Advertisements
The renter agrees to utilize the name ‘Chuck Mathena Center’, or ‘CMC’ in all programs, publicity releases, posters, flyers or any other printed materials for public perusal. Any print media that contains the name ‘Chuck Mathena Center’, or ‘CMC’ must be approved in writing by management prior to publication.
Alcohol Service
The Chuck Mathena Center is the sole provider of any alcoholic beverages on the premises. Please contact CMC Management for further details.
Animals
Except for assistive animals, animals are not permitted in the Center without authorization in writing from management.
Benefits
Any ticketed theatre events agree to compensate the CMC with 10 complimentary tickets to use a CMC deems.
Booking
The Chuck Mathena Center will book an event no more than 1 year prior to calendar date of your event. Rental prices are applicable at the time of the event, not upon scheduling date.
Box Office & Ticketing
All ticketed events must sell through the CMC’s Box Office. All media materials and ads must mention "Purchase tickets in person, at the Chuck Mathena Center Box Office located at 2 Stafford Commons, Princeton, WV 24740, or by phone at (304)425-5128, (877) 425-5128 or online at chuckmathenacenter.org. See box office for full details on applicable fees.
CMC must receive your Event Ticketing Forms two months prior to the day tickets go on sale for the event. The ticketing form may be obtained from management. A meeting with the Box Office may be arranged.
Business Services
While attending an event, copy service is available for $0.25 per page, and fax service is $1.00 per page sent within the continental United States. Incoming faxes less than five (5) pages are free of charge; any additional pages after five (5) are $1.00 per page.
Cancellations
Cancellations vary dependent upon the Rental Package. Please refer to Rental Rates for Cancellation Policies. All cancellations must be in writing.
Concession Items
Any item (souvenir books, CD’s, tapes, t-shirts, etc.) sold in connection with the event needs management approval and arrangements. Unless waived, 15% of gross sales will go to the Chuck Mathena Center.
Decorations
All decorations must receive approval from CMC management prior to the event and removed at the end of the evening. Any items hung must use 3M products. Confetti, helium balloons, glitter, rice, birdseed, incense and open flames are prohibited in the Chuck Mathena Center.
Deposits & Payments
The Chuck Mathena Center holds a booking as tentative for no longer than 30 days. At the time of confirmed booking, a deposit or payment in full is required. Groups requesting state tax exemption must submit their tax exemption form including number to CMC management at time of payment. A valid credit card is kept on file at time of final payment for any incidental purposes.
Exhibits
The Chuck Mathena Center operates as a gallery. Renters may not dismantle, rearrange, cover, alter, or remove any exhibit/show to accommodate their event.
In-House Rentals
The Chuck Mathena Center provides in house rentals of tables, chairs and linens. These are an additional charge and are added into the total rental cost.
Insurance
A corporation or organization renting the facility must provide a certificate of insurance naming the Chuck Mathena Center as additional insured and certificate holder. The limit is a minimum of $1,000,000 per occurrence and $2,000,000 aggregate liability.
Law Violations
No activities in violation of Federal, State, or local laws are permitted on Chuck Mathena Center premises. It is the responsibility of the renter to enforce this provision.
Outside Vendors
Only outside vendors (caterers, DJ’s, florists, etc.) that have completed an application and review process with CMC management have accessibility to the Center. To receive a list of Approved Vendors, please see a member of management. The Chuck Mathena Center assumes no liability for approved outside vendor
Refusal of Occupancy
The Chuck Mathena Center reserves the right to refuse use of the facilities for any activity it deems inappropriate for the facility and /or detrimental to the best interest of the Center. In addition, the Center reserves the exclusive privilege of making final decisions in matters of controversy or misunderstanding involving group functions.
Room Liability
The Chuck Mathena Center reserves the right to inspect and control all private functions. Liability for damages to the premises are charged to the representative making arrangements through the CMC management. This includes any breakage or damage to the building or the contents. CMC assumes no responsibility for any personal items or equipment brought in by any individual or group. We reserve the right to charge a service fee for setting up meeting rooms with extraordinary requirements or for changing setups within 48 hours of the function.
Security
Extra Security personnel is required for all private functions that serve wine, beer, or alcohol. The ratio of 1 security person per 100 guests is mandatory, pay rate is $20 per hour, per security person.
Staff
At all times, CMC staff is on site and will have access to all portions of the Center, including the leased premises.
Subleasing
The renter will not assign or sublease the whole or any part of the Chuck Mathena Center facilities.
Tobacco Use
Use of any tobacco product is prohibited in the Chuck Mathena Center facilities. Smoking is only permitted in designated outdoor areas. While smoking, please be considerate of others. Extinguish all smoking materials properly and disposed in appropriate receptacles.
Trade Shows
The Chuck Mathena Center must receive a complimentary booth during any trade show event. It is at management’s discretion as to the usage of the space.
Theatre Occupancy
For theatre events, the doors to the premises will open for the renter and it’s patrons two hours before the scheduled starting time of the event.
Vacation of Premises
Immediately following the event the renter must clean up and remove material(s) brought in. This is the sole responsibility of the renter.
All functions must end, with tear down complete and the premises vacated by all guests no later than the end of the rental time and never to exceed Midnight. Failure to do so will result in a $250 charge per 15 minutes past rented allotment or midnight.
Any terms and/or arrangements not specified in this policy are subject to review and approval by management on a case-by-case basis.
